PredioAI simplifies lease management with an AI-powered platform that helps users efficiently manage leases, amendments, renewals, notices, documents, and more. Here’s a step-by-step breakdown of how the system works:


1. Log into the Application : Users log into the PredioAI platform with their credentials (email and password) to access their property and lease data. 


2. Create a Client:  Creating a client establishes the foundation of your account structure, enabling the system to organize properties, locations, and leases under specific clients for easy management.

  • Navigate to the Client Dashboard. 
  • Click on the "Create Client" button. 
  • Fill in the client’s details (name, broker information, logo). 
  • Save the client to create a new entry.

3. Create a Location (Property): Adding a location allows users to manage individual properties, upload documents, set clauses for analysis, and track leases effectively for each specific property.

  • Go to the Location List page. 
  • Select the desired client from the dropdown. 
  • Click the "+ Create Location" button. 
  • Enter property details (name, type). 
  • Select collaborators for the property. 
  • Set the clauses to be analyzed by PredioAI. 
  • Save the location.

4. Upload Documents:  Uploading documents initiates the AI-powered analysis of lease and related documents, helping to extract key details such as clauses, terms, and conditions, which can be reviewed and processed automatically.

  • Go to the Location Page. 
  • Click the "Upload" button. 
  • Choose the document type (lease, invoice, amendment, etc.). 
  • Select files from your computer to upload. 
  • Choose whether to process the document immediately or later.

5. Document Abstraction & Review: This step ensures the AI has extracted accurate and relevant data from documents, enabling users to manually correct or update any errors to ensure the integrity of the information.

  • After document upload, go to the Co-Pilot page. 
  • Review the abstracted clauses, terms, and details. 
  • Manually adjust or annotate any missing or incorrect data. 
  • Review and approve the clauses as necessary.

6. Manage Renewal Options: By managing renewal options, users can track important lease events, like renewals, to ensure timely actions are taken, helping avoid missed opportunities or lapses in lease agreements. 

  • Navigate to the Options tab under the Location Dashboard. 
  • Click the plus icon to add renewal options. 
  • Enter the renewal option details and click Save. 
  • If a renewal is exercised, click on the "Exercise" button to create or upload the renewal notice.

7. Set Reminders: Setting reminders ensures that critical lease events (like renewals or rent increases) are not missed, helping users stay proactive and compliant with lease terms.

  • Go to the Reminders tab under the Property Pages. 
  • Click the "Add Reminder" button.
  • Fill in the reminder details (event type, date). 
  • Click "Add Notification" to save the reminder.

8. Generate and Download Reports: Reports provide valuable insights into lease statuses, rent rolls, and critical dates, allowing users to analyze lease performance and make informed decisions based on accurate data. 

  • Navigate to the Reports section. 
  • Choose a report (e.g., Lease Expiry, Critical Dates, Rent Roll). 
  • Apply filters to narrow down the data. 
  • Download the report in the desired format (Excel, PDF).

9. Export Lease Summaries and Data: Exporting lease summaries and data allows users to share, analyze, and collaborate on key lease information, streamlining communication with stakeholders. 

  • Go to the Lease Abstract page or Property Page. 
  • Click the "Download Summary" button. 
  • Choose the format (e.g., Excel). 
  • Download the summary and share it as needed.

10. Manage Users and Permissions: Managing users ensures that only authorized individuals can access sensitive lease and property data, maintaining security and proper oversight within the platform. 

  • Go to the Client Users section. 
  • Click "Add Client User" to create a new user. 
  • Enter user details and specify login access if needed. 
  • Save the user and manage user details (edit or deactivate) as required.

11. View the Dashboard: The dashboard provides a snapshot of key lease metrics, offering users quick access to the health of their portfolio, so they can monitor important data like lease expirations and financial performance. 

  • Go to the Dashboard section. 
  • View key metrics such as total leases, total rent, total rentable area, and lease expiry dates. 
  • Monitor lease status, upcoming renewals, and other critical data. 


This step-by-step flow ensures that users can easily navigate the platform, manage properties, upload and process documents, set reminders, and generate reports to maintain an organized and efficient lease management process.
